Health and Safety Policy for Gardeners Dagenham
Gardeners Dagenham is committed to providing a safe and healthy working environment for our employees, clients, visitors, contractors, and members of the public who may be affected by our gardening and grounds maintenance activities. This Health and Safety Policy sets out our approach to identifying, managing, and reducing risks associated with gardening, landscaping, and related services across our service area.
Policy Statement
Our policy is to conduct all gardening and maintenance work in a manner that prevents injury, ill health, damage to property, and harm to the environment. We aim to continuously improve our health and safety performance by reviewing procedures, training our staff, and complying with all relevant health and safety legislation and industry best practice.
Health and safety is an integral part of our planning and decision making. We expect all staff and contractors working on behalf of Gardeners Dagenham to follow this policy and the associated procedures at all times.
Responsibilities
The management of Gardeners Dagenham holds overall responsibility for ensuring that this Health and Safety Policy is implemented and maintained. Management will provide adequate resources, information, instruction, and supervision to support safe working practices and a positive health and safety culture.
Supervisors and team leaders are responsible for day-to-day implementation of this policy on site. Their duties include communicating safe systems of work, checking that equipment is fit for purpose, monitoring working conditions, and ensuring that staff use the correct personal protective equipment.
All employees of Gardeners Dagenham have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. Employees must follow all safety instructions, attend required training, report hazards and incidents promptly, and refrain from misusing or interfering with anything provided for health, safety, or welfare.
Risk Assessment and Safe Systems of Work
We will identify potential hazards associated with gardening and grounds maintenance tasks, including but not limited to use of machinery, manual handling, working at height, use of chemicals, noise, dust, and adverse weather conditions. Suitable and sufficient risk assessments will be carried out before commencing work, particularly for new sites or unfamiliar tasks.
From these assessments, Gardeners Dagenham will develop and implement safe systems of work and method statements that outline how tasks are to be carried out safely. These procedures will be communicated to all staff and reviewed regularly, especially following accidents, near misses, or significant changes in working practices.
Use of Equipment and Machinery
Gardeners Dagenham will ensure that all tools, machinery, and vehicles used for gardening and landscaping are properly selected, maintained, inspected, and used in accordance with manufacturer instructions and relevant safety standards. Defective or unsafe equipment will be removed from service immediately.
Only trained and competent personnel are permitted to operate powered equipment such as lawn mowers, hedge trimmers, chainsaws, strimmers, and other specialist machinery. Guards, safety devices, and emergency stop features must never be removed or bypassed. Fuel, oils, and other substances related to equipment use will be stored and handled safely to reduce fire and environmental risks.
Personal Protective Equipment
Appropriate personal protective equipment will be provided where risks cannot be fully controlled by other means. This may include safety footwear, gloves, eye protection, hearing protection, high-visibility clothing, helmets, and respiratory protection depending on the task and risk assessment.
Employees must use the personal protective equipment provided, keep it in good condition, report any defects, and store it properly when not in use. Gardeners Dagenham will replace worn or damaged equipment promptly and ensure that staff understand how to use it correctly.
Manual Handling and Ergonomics
Many gardening tasks involve lifting, carrying, pushing, pulling, bending, and repetitive movements. Gardeners Dagenham will seek to minimise manual handling risks by using mechanical aids, planning work to reduce unnecessary lifting, and encouraging team lifting for heavy or awkward loads.
Staff will be trained in safe manual handling techniques and in recognising the importance of good posture, regular breaks, and early reporting of any discomfort or musculoskeletal problems. We will adapt tasks and equipment where reasonably practicable to reduce strain and improve ergonomics.
Chemicals, Substances, and Environmental Protection
Where herbicides, pesticides, or other chemicals are used, Gardeners Dagenham will ensure that they are selected, stored, transported, and applied safely and in accordance with regulatory requirements and manufacturer instructions. Where possible, we will favour lower-risk and environmentally responsible products and methods.
Safety data for substances will be available to staff, and appropriate control measures will be implemented, such as use of personal protective equipment, restricted access areas, and careful disposal of waste. We will seek to protect plants, wildlife, waterways, and soil quality while carrying out our gardening services.
Working at Height and Site Safety
Where work at height is necessary, for example hedge trimming, tree work, or gutter cleaning related to gardening activities, Gardeners Dagenham will plan and carry out the work safely. Suitable access equipment will be used, and staff will be trained in its safe use. Work at height will be avoided where it is reasonably practicable to do so.
Our teams will maintain safe site conditions by keeping work areas tidy, managing trip hazards such as hoses and cables, setting up warning signs where appropriate, and controlling access to areas where machinery or hazardous tasks are in operation. Particular care will be taken in residential areas and public spaces to protect clients, neighbours, and passers-by.
Training, Communication, and Consultation
Gardeners Dagenham will provide health and safety induction and ongoing training to ensure that all staff understand their responsibilities and can work safely. Training will cover topics relevant to gardening work, such as equipment operation, manual handling, use of chemicals, emergency procedures, and safe driving of work vehicles.
We encourage open communication on health and safety matters. Employees are invited to raise concerns, suggest improvements, and participate in discussions regarding safe working practices. Reports of hazards, near misses, or unsafe conditions will be taken seriously and acted upon promptly.
Accidents, Incidents, and Emergency Procedures
All accidents, incidents, and near misses will be recorded and investigated to identify causes and prevent recurrence. First aid provisions will be available and staff will be informed of the arrangements in place for obtaining medical assistance if required.
Emergency procedures will be established for potential situations such as fire, chemical spills, severe weather, and injuries on site. Staff will be made aware of these procedures and any responsibilities they may have in an emergency, including raising the alarm, contacting emergency services, and ensuring the safety of themselves and others.
Monitoring, Review, and Continuous Improvement
Gardeners Dagenham will monitor compliance with this Health and Safety Policy through regular inspections, audits, and review of incident records. We will use the findings to improve our systems and reduce risks.
This policy will be reviewed periodically and whenever there are significant changes in our operations, legislation, or best practice. Updated versions will be communicated to all employees and made available to clients and interested parties on request.
By working together and following this Health and Safety Policy, Gardeners Dagenham aims to maintain a safe, responsible, and professional gardening service for all.
